UNCOMMITTED WORK

Any work that you add to a consultation will be saved as you enter it, line by line. If you quit out of the record without first completing the visit, any work already entered will remain uncommitted. Each time that you choose to add more work to that record, you will be prompted that there is work outstanding and you will be able to return to that consultation and continue adding work until you do finalise the visit. You can also start a new consultation while an uncommitted consultation exists.

There is an application preference that can be set so that a prompt is displayed each time that you leave an animal’s record with uncommitted work present.

The totals of uncommitted (and batched) work are displayed at the top of the animal’s History screen.

If you wish to continue with an uncommitted consultation, click Add New and click the blue Selection tile alongside the relevant consultation.

At this point:

  • The Forget Visit option allows you to quit out of that visit > without adding any more work and leave the current work > uncommitted.

  • Each line can be edited or deleted. Select the line and click the > Edit or Delete tile, as appropriate.

  • Further entries can be added in the usual way.

  • The sort order of the lines can be changed by clicking and holding > the Shift key and using the Up and Down arrows to reorder > the lines as required.

Click Complete to commit the consultation or Delete Visit to delete all lines associated with the consultation and the consultation header.

Clipboard

Uncommitted work is displayed in history, with a band of green alongside the left-hand side of the entry, but the value of any chargeable work will not yet be included in the client’s balance.

The value of the uncommitted work is included in the balances display at the top of the animal record.

As uncommitted work is not included in the client balance, it is important to regularly check that work hasn’t been left uncommitted unintentionally. One way of doing this is to use the Clipboard.

The clipboard option displays all clients/animals records that have been recently accessed by the current Assisi user - in the order that they have been accessed and with the most recent entry at the top of the clipboard list. You can click on the tick box alongside the entry to navigate to that client/animal record.

If there is any uncommitted work for any animal on the client’s record, the tick will be displayed with a green background, so this is a useful way for the user to regularly check whether they have unintentionally left any uncommitted work.

In addition, it is possible to run reports to show uncommitted work (per branch, if applicable) and the results of this report can be exported to a Work Flow list from which you can navigate to the relevant record to commit the work.

Uncommitted Work Report

  1. Click Reporting and then click Ad-hoc Reporting.

  2. Click Open.

  3. Locate the Uncommitted Consultation Report for your branch. The path to the Reports folder varies per practice.

The path for your practice is:

Double-click the report.

  1. Click Execute.

Note: Bear in mind that the results will include any current consultations, where the work has been added but not yet committed.

  1. This report displays each line of uncommitted work. You can then:

  2. export > the results to a spreadsheet; or

  3. export to one of your work flow lists, from where you can navigate > to each animal’s history to commit or delete the entry/ies.

Export to a Spreadsheet

Click Spreadsheet on the toolbar and the spreadsheet will open with the entries displayed.

Export to a List

  1. Create an Uncommitted Consultation List for each branch. This may already exist, but check that it is in place before Executing the report (see notes below for creating a new list).

  2. Click on Save to List, select the relevant list, click Clear existing entries and click Save.

  1. Exit from Ad-hoc Reports, click Work Flow on the Assisi Desktop and click on the list.

  2. From the list, you can then Navigate to each animal’s record to commit/delete the entries, as appropriate.

  3. If > your list is configured to delete upon navigation, then the entry > will be deleted automatically.

  4. Otherwise, you should click the text box alongside the entry/ies and > click Delete.

Creating a New List

  1. Click Setting on the Assisi Desktop and click Work Flow>Work Flow Setup.

Display Options

  1. In the List Name box, select New List. Type in the name of the list and click Save.
  1. The Columns box on the left-hand side of the screen contains all of the standard tokens that can be added to lists so that you can select what client/animal information will be displayed on your list. Click on a token and click the right arrow so that the token is displayed in the box to the right of the tokens list.

Note: There is a list token called Ticked. If this token is added to a list, then this will add a check box to the list. This allows you to select multiple entries on the list and delete all selected entries.

The remaining tokens represent standard data that is stored on the Client and/or Animal screens. You are unable to add a token to a list to display the value of the uncommitted work, however, nor the user who left the work uncommitted but all of this information, is displayed on the SQL report, if needed.

  1. By default, the columns on the list will be displayed in the order that the tokens appear in this box. You can change the display order, however, by clicking on a token and clicking the Up or Down arrows accordingly.

  2. Set the Navigation Destination to be the Animal.

  3. You can choose to set Delete Entry after Navigation or manually > delete once an entry has been committed. You can also re-run the > report/export at any time which will not include any entries that > have since been committed.

  4. Select the relevant Branch from the drop-down box.

  5. Click Save.

List Group Configuration

You can configure your lists into Groups to make them more manageable.

  • If your practice has list groups configured, then you need to add > the list to the relevant group as outlined below.

  • If you do not have any list groups configured, then ignore the > instructions below.

  • Click Settings on the Assisi Desktop and then click Work Flow>List Group Configuration to display the Maintain Work List Groups screen.

Existing groups are displayed in the Groups box.

  1. Click on the relevant group and this will display all available lists in the Selectable Lists box.
  1. Click on relevant list and click the down arrow to move the list into that group.

  2. Select the branch from the drop-down Branch list.

  3. Close and re-open Assisi for the new configuration to become effective.
