Work Entry Step-by-Step summary NOTES

For consults:
-
Click Work Flow on the Assisi Desktop and display your > waiting list.

Choose the client/animal from the list by double clicking the entry > and selecting the Navigate option. This takes you to the > Animal/Work Entry screen.

For non-consults, search for and display the animal’s record.

Current Assisi history will be displayed. You can view converted history by clicking the Converted tile on the right-hand toolbar.

You can view General Notes, Warnings, Recalls, Custom Data and Animal Photo (if available) in the General Notes box in the bottom left-hand corner of the screen.

Click Add Work on the right-hand toolbar to add new work.

Open a New Consultation:

Enter the vet username and type in a password if applicable.

Consultation date defaults to today – amend if required.

Select the branch from the drop-down list – this is the branch > against which the financial figures will be analysed.

Select the stock location from the drop-down list. This is defining > the stock location from which any products sold will be destocked > but this can be overwritten on a line-by-line basis.

Leave the Account Terms as displayed.

Leave the COA box unticked and the Estimate box unticked.

Click the Tick.

- Continue with Uncommitted Consultation
If there are any uncommitted consultations saved on the record, they will be displayed at the top of the screen. Click the tick alongside the relevant consultation to continue with this consultation.
- Adding Work
Add new entries by clicking one of the tiles on the toolbar.
Drug – records a stock sale.
Service – records a fee to be charged
Note – text that can be printed on an invoice/statement
Clinical – text that is not printed on an invoice/statement
See Again – text from a glossary that specifies a repeat visit interval
Observe – records clinical observations
Venom Code – records a reason for the visit
Routine – imports a pre-saved multi-line Routine
If your internal lab machine has been linked into Assisi:
IVLS – charges an internal lab fee and links to the internal laboratory machine, so that the results are automatically imported into the animal’s history.
If you have registered with VetEnvoy:
Ref Lab – charges an external lab fee and allows you to print a requisition produced by the lab to send with the sample. The results are automatically imported into the animal’s history.
ID Chip – automatically sends registration details to the ID chip company.

You can edit or delete any line by clicking on it and clicking the > Edit or Delete tile.

You can view the history and/or converted history from the treatment > screen by clicking the Converted or History tiles. To > return to the treatment screen, click the Treatment tile.

You can print consent forms by clicking the Consent tile.

When all entries have been added, either click Complete to > finalise the consultation or click Quit Visit if you wish to > save the work already added but leave the consultation open so > that further work can be added before it is finalised. Delete > Visit will delete the consultation header and all lines of work.

Finalise the Consultation

Click the Complete tile.

Check that the Consultation Header is correct.

Check that the default Save and Print options are correct and > amend if necessary.
These options and layouts will default to those saved on the client’s Account Terms code but can be overwritten if required.

Raise Invoice + Print Invoice

Leave Work in the Batch + Don’t Print Now or Print Advice Note
Holding Invoices for Multiple Animals
For holding invoices for multiple animals and printing one consolidated invoice at the end of the consultation, choose Raise Invoice + Don’t Print Now for all animals except the last animal, and for the last animal select Raise Invoice + Print Invoice and tick the Include Unprinted Invoices option.
The Invoice layout determines whether an invoice/receipt prints on a ticket printer or an A4 printer. Default layouts can be changed from this screen, if required, before finalisation.
List Options
If you wish to add the client/animal to a list, click the relevant list. For example, if you have an Admission or Operations list set up, you can add them to the list at this point. You will then be able to quickly navigate to the animal record from that list from the Work Flow option.

Click the Save tile to finalise the consultation.

Click the Work Flow tile on current the Animal/Work Entry screen to return to your waiting list.
